Volume is concentrated in a few hours, in a few zones.
On a warm Saturday a beer garden takes a thousand orders in a four-hour window. Drinks-led venues run more open tabs than restaurants, more parallel orders per table, and a higher share of walked checks at last orders. The terrace, taproom and festival annex each have different staff ratios, payment habits and peak hours.
Butlaroo handles those constraints directly. QR at every table lets a group of eight scan and order in parallel, so capacity isn't bounded by floor staff. Tabs run open during quiet service and flip to direct-pay automatically at the time you set, so late rounds are paid before they're served. The bar display orders pours by tap to balance lager and IPA, and each zone runs on its own payment rule, tab cap and schedule.

Open tabs by day. Direct-pay at set times.
Set the hours when tabs are open and when direct-pay kicks in. Butlaroo flips the payment rule automatically across every QR table and handheld at the scheduled time. Run open tabs during lunch service, flip to direct-pay at 19:00 so each round is paid before the next is poured, and set different rules for the terrace and the taproom. Per-table caps prompt the guest to settle before the tab can grow further.

Set the hours for open tabs and direct-pay, per day of the week. Every QR table and handheld follows the rule from the moment the schedule rolls over. No manager keystroke required.
Different rules per zone
Open tabs in the indoor taproom, direct-pay on the outdoor terrace, and a third rule for a festival annex. Each zone has its own payment rule, tab cap and schedule, all configured from one dashboard.
Per-table tab caps
Set a per-guest or per-table tab cap. When a tab hits the limit, the QR prompts the guest to settle before the next round can be added, and handhelds block further charges. Walked checks drop without floor staff policing the room.

How long does rollout take?
Two to four weeks. We map your floor plan (taproom, terrace, festival annex), import your menu, train the floor and bar team in one shift, and go live on a busy day. No onboarding fee. A second venue is replicated from the first in days.
Do we keep our existing card terminals, taps and POS hardware?
In most cases, yes. Butlaroo runs on any tablet or mini-PC, integrates with Adyen, Stripe, SumUp and 20+ other card terminals, and works with most receipt printers and bar displays. Pour-counter integrations feed tap data into the same reporting. Hardware replacements are quoted separately and never required.
Can the platform handle 500 guests on the first sunny day?
Yes. Butlaroo handles venues that take 1,000+ orders in a four-hour afternoon. The bar display orders pours across the taps to balance lager and IPA, and the schedule auto-flips to direct-pay at the time you set. The system is load-tested at festivals and stadiums during sold-out events.
What happens if WiFi drops mid-service?
Handhelds and counter POS keep taking orders offline and sync as soon as the connection returns. Card terminals fall back to offline mode where the network allows, so direct-pay still settles in weak-signal areas. Guests see no difference, and no check is lost.
How do takeaway and click & collect orders reach the brewery?
Growler refills from your click & collect site and food orders from Uber Eats and Just Eat Takeaway enter the same bar display queue as in-house tables. One menu, one queue, no separate screen behind the bar.
